Today I want to discuss the thrilling yet challenging world of managing a small bookkeeping business.

The Thrill of the Opportunity

Opportunity seizing is a thrilling aspect of entrepreneurship.

Recently, a referral from a former CPA required fixing five years of financial data for a client.

This not only presented a financial boon but allowed me to pull in my “amphibian allies.” Talented individuals who mesh seamlessly with my core team for larger projects.

These opportunities really push us to do better and strengthen the energy of our business.

The Balance with Boundaries

However, with great opportunities come great responsibilities—and the need for strict boundaries.

Early in my career, I would bend over backward, adjusting my schedule and processes to fit a client’s needs.

This often led to stress and inefficiency. Learning to set and communicate clear boundaries about timelines and deliverables has been crucial.

I’ve transitioned from letting clients dictate the pace to setting realistic schedules that respect both our time and theirs.

Expanding Horizons

Recently, I embraced the chance to assist with a cohort for Bookkeeper Anywhere, also known as 60 Day Bookkeeper.

This involvement not only allows me to help others grow in their careers but also aligns perfectly with my passion for teaching and mentoring.

Roles like this enable me to extend my influence beyond the immediate scope of my business. Offering a fresh perspective on what we can achieve as mentors.

Diving Deep with VIP Clients

Another exciting development has been the creation of a VIP experience for clients who require intensive, personalized support.

This project began as an experiment but quickly proved its worth. Providing this tailored service allows me to deeply engage with clients while also establishing a sustainable model for high-touch, high-value service offerings.

Creating Sustainable Systems

A returning client presented an opportunity to develop a comprehensive handbook. A project that not only leverages my experience but also ensures the client’s long-term success.

This type of work underscores the importance of building sustainable systems that clients can rely on long after our direct engagement ends.

The Importance of Team and Collaboration

None of these opportunities could be managed without a robust support system.

My team, including Meghan, my right-hand and fellow bookkeeper, and various “amphibian allies”, play a critical role. We work collaboratively, ensuring that no one person bears too much burden. Which is essential in preventing burnout and maintaining quality.

Lessons Learned in Entrepreneurship

This journey has taught me several key lessons:

  • Opportunity Cost is Real: Every yes to one opportunity is a no to another. Weigh each opportunity not just by the potential revenue, but also by the bandwidth it requires and its alignment with your business goals.

  • Boundaries Are Beneficial: Setting clear boundaries has been crucial for maintaining sanity and ensuring the business does not overrun my personal life.

  • Growth Through Teaching: Engaging in mentorship and educational roles has not only allowed me to give back to the community but has also been a significant avenue for personal and professional growth.

Owning and operating a small bookkeeping business is a dynamic and rewarding adventure. It requires a keen ability to seize opportunities while maintaining a balance that protects your time and values.

As bookkeepers, our challenge is to navigate these waters with precision and care, ensuring that while we reach for new heights, we remain firmly rooted in the practices that sustain our business and personal well-being.
